1. Who we are and what this covers

404 Human Found is a brand and service of 404HumanFound LLC ("404 Human Found," "we," "us"), Rochester, Michigan, United States. This policy covers the 404 Human Found website and the AI worker services we provide. We are part of the QUONtech ecosystem. The QUONtech websites and the QUONlab customer portal are additionally covered by QUONtech's own Privacy Policy, which applies to your use of those properties.

In this policy, "personal information" means information that identifies or can reasonably be linked to an individual. A "controller" decides why and how personal information is processed. A "service provider" or "processor" processes it only on a controller's behalf and instructions.

2. Our two roles

We act in two different roles. As a controller, we decide how personal information is handled when you visit our website, submit a form, audition a worker, or interact with us as a prospect, customer contact, supplier, or partner. As a service provider, we process conversation data on behalf of the businesses that use our AI workers. If you spoke or chatted with an AI worker run for one of our customers, that business controls that data, and you should contact that business to exercise your rights over it. Section 5 explains this in more detail.

3. Information we collect as a controller

Directly from you. When you submit our get-started or contact forms, request library access, or write to us, we collect what you provide: your name, business name, email address, phone number, industry, the plan and channels you are interested in, estimated volume, and the content of your message.

Automatically. When you use the website, we and our service providers may collect technical information such as IP address, device and browser type, pages viewed, and usage activity, using cookies and similar technologies, to keep the site working and secure.

From AI features on the website. If you interact with the audition or a chat assistant on our website, we may collect the messages and transcripts of that interaction. Do not enter sensitive personal information, credentials, or confidential third-party data into these features.

From our customers, to build their workers. Businesses that engage us provide knowledge about their operations, such as services, hours, pricing, policies, and team structure. That material may include business contact information about their staff, which we use only to build and run their AI worker.

4. How we use information as a controller

We use this information to respond to your requests, to confirm and deliver the services you ask for, to set up and manage accounts, to operate, secure, and improve the website and services, to communicate with you about your inquiry or account, to prevent fraud and abuse, and to comply with legal obligations. We do not sell personal information.

5. Conversation data: when we work for our customers

When a business deploys a 404 AI worker, the worker's interactions with that business's customers generate recordings, transcripts, messages, summaries, and related metadata ("Conversation Data"). The business is the controller of its Conversation Data. We process it only to provide, secure, and support the agreed services, on that business's instructions and under our agreement with them.

Conversation Data is stored in the customer's dedicated, secure environment, transcripts are retained for twelve months by default, and the customer can export or delete its data at any time. We do not sell Conversation Data, and we do not use one customer's Conversation Data to build or train services for anyone else. If you are an individual who interacted with an AI worker and want to access, correct, or delete that data, contact the business you interacted with; we will support that business in responding as our agreement and applicable law require.

6. How we share information

We share information only as needed to operate, with providers bound to protect it: Google (Firebase and Google Cloud) for website hosting and infrastructure; Supabase for our database infrastructure, including QUONCRM, our own customer relationship system; Voiceflow for chat experiences on our properties; Twilio for telephony and text messaging; Resend for transactional email; Clerk for portal authentication through QUONlab; and Stripe for payment processing through the QUONlab portal where enabled. We may share information within the QUONtech ecosystem, including with our parent QUONtech LLC, to operate and support the services. We may also disclose information if required by law or to protect the rights, property, or safety of 404 Human Found, our customers, or others, and information may be transferred as part of a merger, acquisition, or sale of assets, subject to appropriate protections.

7. Text messaging opt-in

When you opt in to receive text messages from 404HumanFound LLC, we collect your mobile number and your consent record. No mobile opt-in information is shared with third parties or affiliates for their marketing or promotional purposes. Sharing with providers that support the messaging service is limited to delivering the messages you requested. Message frequency varies, and message and data rates may apply. Reply HELP for help or STOP to opt out at any time. Opting out of texts does not affect your ability to use our services.

8. Cookies and analytics

We use the cookies and similar technologies needed to operate the site and understand basic usage. Where non-essential cookies are used, we will ask for your choice, and we respond to Global Privacy Control signals where required by applicable law. You can also control cookies through your browser settings.

9. Where your data is stored

We are a US-based company serving US-based businesses, and the website and services are operated from the United States. Your information is stored and processed on infrastructure located in the United States. If you access the website from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your location.

10. How long we keep information

We keep personal information only as long as needed for the purposes described here, or as required to meet legal, security, and fraud-prevention obligations, after which we delete or de-identify it. Conversation Data retention is described in Section 5 and in the customer's agreement.

11. Security

We use reasonable technical and organizational safeguards appropriate to the sensitivity of the information we process, including isolated customer environments and role-based access, and we review them regularly. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Where the law requires us to notify you of a security incident affecting your personal information, we will do so as required. Businesses with elevated compliance needs can engage a complete security strategy through our parent, QUONtech.

12. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. You will not be discriminated against for exercising these rights. For information we control, make a request at info@404hf.com; we will verify your identity before acting and respond as required by applicable law. For Conversation Data held for one of our customers, contact that business directly, as described in Section 5. You can opt out of non-essential communications at any time.

13. Children

The website and services are intended for businesses and for individuals aged 16 and older. They are not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us so we can address it.

14. Changes

We may update this policy from time to time. Material changes will be posted here with an updated effective date and, where appropriate, additional notice.
